General Description:
Reporting to the Manager of Purchasing & Facilities, the Purchasing Analyst will research, evaluate, select, and procure products and services in concert with the Manager and, as appropriate, end users and finance and legal personnel. Secondary duties involve assisting the Manager with office management tasks.
Primary Duties:
The Purchasing Analyst will perform the following tasks:
- Process requisitions, purchase orders, bids, proposals, quotes, deliveries, receipts, and invoices.
- Research/identify possible sources of products and services.
- Contact vendors regarding product and services specifications, availability, pricing, delivery, and warranty information.
- Analyze contract terms and pricing information.
- Negotiate with vendors in a consistently fair manner to obtain products and services at a "best value" for Constant Contact.
- Place orders for products and services on behalf of the company's various business units.
- Ensure timely receipt of the proper quantity and quality of products and services.
- Investigate and resolve problems regarding product and service delivery discrepancies.
- Ensure adequate purchasing documentation is maintained.
- Coordinate all aspects of the purchasing process with end users, as appropriate.
- Coordinate budgetary aspects with Finance personnel.
- Coordinate legal aspects with Legal personnel.
- Ensure deliveries are reflected in appropriate asset tracking systems.
- Ensure the Purchasing Policy's procedures are followed.
Secondary Duties:
In addition to the above, the Purchasing Analyst will assist the Manager of Purchasing & Facilities with the tasks listed below. The Purchasing Analyst will also act as a main point of contact in the Manager's absence.
- Coordinating office moves.
- Identifying and ordering office furniture.
- Handling security-related issues, e.g., security access cards.
- Assisting with other office management tasks as assigned.
Qualifications
- Minimum of 2-3 years of buying experience in a corporate environment, with technology-related buying experience considered a plus.
- Ability to understand, interpret, and negotiate contract and purchase order terms and conditions.
- Demonstrated strong negotiation skills.
- Hands-on experience with a computerized purchase order system is preferred.
- Demonstrated attention to detail.
- Proficiency with the suite of Microsoft Office software.
- Ability to work independently as well as part of a team.
- Ability to work with all levels of management.
- Ability to multi-task and prioritize the workload in a dynamic environment.
- Ability to establish and maintain positive relationships with management, peers, suppliers, and internal customers.
- Ability to take direction, learn quickly, and ask questions when tasks are unclear.
- Bachelor's degree required.
